General Terms and Conditions for Onthefreeside AB

Welcome to Onthefreeside! These Terms and Conditions outline the general rules and regulations for engaging with our community, purchasing products, booking retreats, and participating in volunteer programs. By using our services, making a purchase, or booking an experience with Onthefreeside, you agree to the following terms.

General Conditions
Onthefreeside operates as a community-focused space offering retreats, volunteer opportunities, and handcrafted goods. By engaging with our services, you agree to adhere to these terms and conditions. We reserve the right to refuse service or sales to anyone at our discretion. All participants must be 18 years or older to join our retreats or volunteer programs.

Product Purchases (Online & On-Site)
We sometimes offer handmade and curated products for sale. Payment is required in full at the time of purchase. All prices are listed in EUR and include applicable taxes unless stated otherwise.

Purchasing Terms & Order Cancellations
If you wish to purchase any product or service made available through Onthefreeside, you may be asked to supply certain information relevant to your purchase, including but not limited to your credit card number, expiration date, billing address, and shipping information. You represent and warrant that: (i) you have the legal right to use any credit card(s) or other payment method(s) in connection with any purchase; and (ii) the information you supply is true, correct, and complete. By submitting such information, you grant us the right to provide the necessary details to third parties for processing your purchase. We reserve the right to refuse or cancel any order due to product or service availability, errors in description or price, suspected fraud, or unauthorized transactions.

Trips and Retreats
Deposits are non-refundable. If you cancel more than 30 days before the retreat start date, you will receive a 50% refund. If you cancel less than 30 days before the retreat start date, no refund will be given. If we need to cancel the retreat, a full refund will be issued. If cancellation is due to illness, a doctor’s note is required for a refund minus a cancellation fee of 100 EUR. Online doctor’s notes are not accepted. Alternatively, you may transfer your booking to a future retreat. In cases of unforeseen circumstances, such as illness of a child, your investment can be moved to a future camp.

Terms & Conditions  for Ember & Earth Group Trip
By booking a spot at Ember & Earth, you agree to the following terms:

1. Weather & Fire Bans
Our group trip is designed to happen outdoors, rain or shine. In case of heavy rain, we’ll use tarps and covered areas to keep everyone dry. Extreme weather may result in schedule adjustments or moving indoors.
If a fire ban is in place, we’ll switch to gas or electric cooking and adapt all fire-related workshops accordingly. We’ll keep the cozy campfire vibes going with creative alternatives (like fairy light fires and hot drinks under the stars).

2. Minimum Participation
The trip requires a minimum of 6 participants. If this number isn’t reached, the retreat will be canceled and all guests will receive a full refund or the option to move their booking to a future trip.

3. Health & Safety
We prioritize safety at all times. If a participant becomes sick before arrival and provides a doctor’s note, we’ll issue a full refund.
If someone gets sick during the retreat, we have a first aid kit on site and an emergency contact nearby. In the case of serious injury or illness, our team will assist with emergency services and coordinate care.

4. Injury or Property Damage
You are responsible for your own belongings. We are not liable for any personal items damaged by weather, nature, or general retreat activities.
Participants will sign a liability waiver upon arrival.

5. Early Departure
If a participant chooses to leave the retreat early (for reasons unrelated to illness or emergency), no refund will be issued unless under exceptional circumstances.

6. Changes to Activities
If any of the scheduled hosts or workshop leaders are unavailable, we reserve the right to adjust the itinerary and substitute with alternative activities or team members.

7. Force Majeure
In the event of natural disasters, pandemics, or other events outside of our control, we may cancel or reschedule the retreat. In this case, we will offer either a refund or rebooking for a future trip.

8. Community Agreements
By participating in Ember & Earth, you agree to uphold the camp’s core values of respect, inclusion, and care. Specifically:

  • I agree to the camp’s no-discrimination policy – no racism, sexism, homophobia, transphobia, ableism, or classism will be tolerated.
  • I understand that photos and videos will be taken during the retreat and may be used for social media and promotion. If I don’t want to be included, I will inform the team in advance.

Ember & Earth Giveaway – Terms & Conditions

These terms and conditions apply to the Ember & Earth giveaway hosted by Indie & Joel (Onthefreeside). By entering the giveaway, you agree to be bound by the following terms:

1. Eligibility
Open to participants worldwide who are 18 years or older at the time of entry. No purchase is necessary to enter or win. Employees, contractors, or close collaborators of Onthefreeside are not eligible to win.

2. How to Enter
To enter, participants must comment on the official giveaway post on Instagram and tag another user. Each separate comment with a unique tagged user counts as one entry. Participants may enter multiple times by tagging different individuals in separate comments. Optional bonus entry: Share the giveaway post to your Instagram Story and tag @onthefreeside.

3. Entry Period

The giveaway opens on March 31st, 2025 at 18:00 CET and closes on April 1st, 2025 at 15:00 CET.

4. Prize
Two winners will each receive one free spot to the Ember & Earth group trip taking place August 6–10, 2025 at Freeside Forest, Sweden. The prize includes accommodation (tent spot), all meals, and group activities during the trip. Travel to and from the location is not includedPrizes are non-transferable and may not be exchanged for cash or any other product or service.

5. Winner Selection & Notification
Winners will be selected at random from all eligible entries. Winners will be announced and contacted directly via DM and email on April 1st, 2025 at 15:00 CET. If a winner does not respond within 48 hours, another winner will be selected.

6. General Conditions
This giveaway is in no way sponsored, endorsed, or administered by, or associated with, Instagram.By entering, participants release Instagram and Onthefreeside from any responsibility related to the giveaway.Onthefreeside reserves the right to cancel, suspend, or modify the giveaway at any time for any reason.

7. Privacy

Personal data collected for the purpose of this giveaway (e.g. names, email addresses) will only be used to contact winners and will not be shared or sold to third parties.

Product Returns & Exchanges
Physical products may be returned within 14 days of receipt, provided they are unopened and in original condition. The customer is responsible for return shipping costs. If an item arrives damaged or defective, contact us at [email] to discuss a suitable solution. Digital products, perishable goods, and custom orders are non-refundable.

Volunteer Participation
Volunteers agree to contribute to the community according to the agreed-upon schedule. More details regarding accommodations, expectations, and responsibilities are outlined on our volunteer information page. Onthefreeside is not liable for any personal injuries or property loss during a volunteer stay.

Liability & Safety
Onthefreeside is not responsible for accidents, injuries, or lost/stolen personal belongings. Participants must act responsibly and follow all safety guidelines provided. Any activities involving fire-making, foraging, or physical labor come with inherent risks.

Code of Conduct
Respect for people, nature, and the community space is expected at all times. We maintain an inclusive, welcoming environment and will not tolerate discrimination of any kind. Alcohol consumption is allowed in moderation, but excessive drinking and disruptive behavior will not be tolerated. Smoking is only permitted in designated areas.

Intellectual Property
All content on this website, including images, text, and branding, is the property of Onthefreeside and may not be used without permission. Participants may take personal photos but should respect others’ privacy.

Media & Promotion
By attending events or purchasing products, you agree that Onthefreeside may use photos or videos for promotional purposes. If you do not wish to be featured in media content, please inform us in advance.

Modifications to Terms
Onthefreeside reserves the right to update these Terms and Conditions at any time. Any significant changes will be communicated via our website or directly to affected customers.
